Administrative Assistant-Dane County Treatment Court and Diversion Programs

The Administrative Assistant serves as a vital first point of contact at JusticePoint’s Dane County office. This role is key in welcoming individuals, handling inquiries, and assisting with administrative tasks. The Administrative Assistant will manage client check-ins, data entry, and support the agency’s drug testing protocols. Many of the individuals served by the agency experience mental health and/or substance use challenges, making it essential for the candidate to be empathetic, compassionate, and maintain composure in sensitive situations.

Key Responsibilities:

  • Greet, sign in, and direct clients and visitors upon arrival.
  • Answer and route phone calls, including taking and forwarding messages appropriately.
  • Oversee and conduct drug testing, ensuring accurate data entry of results into the system.
  • Perform general office duties such as photocopying, faxing, filing, and sorting mail.
  • Maintain complete and accurate records in the electronic database.
  • Gain a thorough understanding of the services provided by JusticePoint to assist clients and staff.
  • Perform other tasks and responsibilities as assigned by supervisors

Qualifications & Competencies:

  • High school diploma or equivalent required; an associate degree in a related field is preferred.
  • Prior experience in clerical or receptionist roles is preferred.
  • Proficiency in Microsoft Office Suite, including Outlook and Word.
  • Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
  • Ability to work independently and as part of a team.
  • Fluency in Spanish (spoken and written) is highly desirable.
  • Demonstrated commitment to cultural humility and an ability to work effectively with individuals from diverse economic, racial, ethnic, and LGBTQ+ backgrounds.
  • Maintain a professional, respectful demeanor with clients, visitors, and team members at all times.
  • Ability to pass a pre-employment background check.
  • Valid driver’s license and access to a personal vehicle with insurance.
